Budget lines

The table on this tab displays the budget lines of the opened budget structure and its properties.

Functions

The following functions refer to the opened budget structure.

Print

Print

Creates a PDF document that displays the budget structure with all its budget lines and properties.

Edit

Edit

Switches to the edit mode. Note that not all properties can be changed once the budget structure has been published. The reason is: postings may already exist that are based on these settings.

Archive

Archive

Once a budget structure has been released, it can no longer be deleted. If you no longer need the budget structure, for example because it contains errors, you can archive it. It is then no longer available in WINPACCS Accounting, WINPACCS Cashbook and Project controlling.

Archiving a budget structure has no impact on postings that have already been uploaded in a closing to WINPACCS Cloud. For assigned postings that have not yet been uploaded, WINPACCS Accounting prompts the user to adjust the postings. Only then can the next closing be performed.

Reactivate

Reactivate

Reactivates the archived budget structure. It is again available for postings.

Save

Save

Saves the changes. To apply the changes, you must release the budget structure. You must also publish the project to forward the changes to WINPACCS Accounting and WINPACCS Cashbook.

Cancel

Cancel

Switches to the display mode without saving changes.

Table (in edit mode)

Click on the arrow symbol (hmtoggle_arrow0/hmtoggle_arrow1) to expand or collapse elements. If you click on Edit the table also offers the following functions:

NewBudgetLine

Create new budget line

Creates a new budget line at the level you previously clicked on. New budget lines are always added at the end of the list of the level.

NewBudgetLineSub

Create new budget line at the next lower budget level

Creates a new budget line below the level you previously clicked on. New budget lines are always added at the end of the list of the level.

Delete

Delete

Deletes the budget line you previously clicked on. All subordinate budget lines are also deleted.

This function can only be applied to budget lines that have not yet been released. Once you have released the budget structure, you can only delete changes to it that have not yet been released.

Language

Budget line in other languages

Opens a window in which you can enter the name of the budget line in other languages.

Collapse

Collapse all elements

Collapses all elements so that the table only shows the top level.

Expand

Expand all elements

Expands the entire budget structure with all budget lines.

Enter the following information to create budget lines:

Budget line code

Define a code for the selected element of the budget structure. The available length is defined in the properties of the budget structure and depends on the level.

Budget line

Enter a name for the budget line.

Postable

Specify whether postings in WINPACCS Accounting and WINPACCS Cashbook can be assigned to this budget line.

For example, you can block a budget line if the budget has been used up. If you deactivate the setting, the budget line is no longer available in WINPACCS Accounting and WINPACCS Cashbook.

The setting has no effect on Project controlling. All budget lines can always be assigned in Project controlling.

Unit of quantity

If monitoring of quantities is activated for this budget structure, use the checkbox here to specify whether quantities can be entered on this budget line in addition to amounts. In this case, also select a unit. The units of measure available are defined in the Project controlling organisational settings.

Restriction on accounts

Here you assign main accounts to the budget lines to which they should be linked. You can select any number of accounts per budget line. Only linked budget lines can be selected in postings to these accounts in WINPACCS Accounting and WINPACCS Cashbook. This restriction helps to meet specific donor requirements or reduce combinations of accounts and budget lines that are incorrect content-wise.

NOTE: The field is only displayed if the Restriction on accounts setting is activated for the budget structure in the properties.
