General

 

On this tab you will find the personal data and some technical information about an employee.

User profile

This section shows the employee's personal data and contact information. The User type also determines whether the user is an internal employee of your organisation or an external employee of a partner.

NOTE: Internal employees can receive by the assignment of all roles extensive authorisations in WINPACCS Cloud . The available authorisations for external users are severely restricted. Only the role Partner book user is available. External users only see their assigned partner books on the dashboard and can open them. Other areas of WINPACCS Cloud cannot be seen. The modules WINPACCS Accounting and WINPACCS Cashbook cannot be opened.

By adding custom fields in the organisational settings for the user administration function area, many more organisation-specific user data and classifications can be recorded.

Users can also change this data themselves under My Account.

Technical data

This section displays some of the user's technical data.

User status

Create all employees as users who are linked to WINPACCS. The User status is used to differentiate whether a user has access to WINPACCS.

1 - Staff without a user account

The status is intended for employees who do not have access to WINPACCS. However, they are available in selection lists, for example as countersignatories in a cash book.

2 - Waiting for user account to be activated by user

Access to WINPACCS has been set up for the employee by assigning roles. He still has to confirm his e-mail address and assign a password to be able to use the access.

3 - Active user account

The employee has active access to WINPACCS

4 - Archived staff

The employee has been created in WINPACCS but is no longer relevant, for example because they have left your organisation.

Second factor for multi-factor authentication

Indicates which second factor has been assigned to the user.

Indicates when the user was created.

Created by

Indicates who created this user.

Edited on

Indicates when a user was last edited.

Edited by

Indicates who last edited this user.

Functions

Different functions are available depending on the user status.

Edit

Edit

Switches to the edit mode. At the end, click on Save to apply your changes.

VerificationCode

Change password

This function can be used to change your own password.

NOTE: The function is only available for the own user.

Download

Downloads a file with the extension *.usr containing all user data.

You only need this file if WINPACCS Accounting or WINPACCS Cashbook are not connected to WINPACCS Cloud (e.g. because you have a weak Internet connection) and you plan to update changed user roles and assignments of a user in the applications. The file is valid for a fortnight.

Import this file into the applications under My account > Update user data.

Set_Verification_Status

Activate user account

Use this function to start the activation process to give the user access to WINPACCS.

DeactivateUser

This function deactivates user access.

Archive

Archive

The function archives the user. The user access is also deactivated if it is an active user.

ActivationEMail

Send activation mail

When you activate a user account, the user receives an activation e-mail to the e-mail address provided. If this e-mail does not arrive (e.g. because the e-mail address was entered incorrectly during registration), you can correct the address and resend the activation e-mail.

Reactivate

Retrieve user from archive

Reactivates a previously archived user.

NOTE: The user receives the user status 1 employee without a user account. To give the employee access to WINPACCS, the function Activate user account must be carried out.

Reset2ndFactor

Resetting the second factor

When you reset the second factor of the multi-factor authentication, you can choose one of your organisation's procedures or choose to completely switch off the second factor for user access. If you select a method, the user must set up the second factor again the next time they log in.

New

Request module registration

Enables the registration of an installation of WINPACCS Accounting or WINPACCS Cashbook on a device without an internet connection.

NOTE: The function is only available for the own user.

VerificationCode

Request verification code

Enables the request of a verification code for a critical journal restore in WINPACCS Accounting.

NOTE: The function is only available for the own user.
