Project and role assignments

 

You can assign roles and projects to a user on this tab. This enables the targeted allocation of authorisations. The roles in WINPACCS Cloud are divided into project-specific roles and Administrator roles. Project-specific user roles contain rights that apply within projects. Administrator roles only contain rights that are generally not directly related to projects. In some cases, rights are included that apply to all projects. Look at Information on roles to find out which individual rights are included in a role.

Project-specific user roles

In this section, you can assign different roles to users in different projects. With the function Add role assignment you create a new group of user roles. On the left-hand side, enter the User roles. Then select under Assignment the level at which you want to assign these roles. Enter the relevant organisational units, countries or projects on the right.

NOTE: Through the assignment All projects the selected roles are assigned in all current and future projects. For the assignment Selected projects and details All only the current projects are assigned. Projects created in the future will not be added automatically.

Archived projects are not displayed in the assignments. You can display them with the quick filter Display archived projects (QuickfilterArchived) which is located above the table.

With the button Delete role assignment (Remove) you can remove a group of user roles. Depending on other assignments, you may first have to remove assignments to journals or cashbooks in the project before you can remove a user role. In this case, you will receive a corresponding message.

Administrator roles

The administrator roles of a user are displayed in this section. You cannot restrict these roles any further. They apply globally to the entire application.

Access to confidential data

This function is used to limit the access to confidential journals, budgets and the corresponding postings to certain users only. Such journals usually contain salary postings for employees.

Switches to the edit mode. At the end, click on Save to apply your changes.

Change password

This function can be used to change your own password.

NOTE: The function is only available for the own user.

Download

Downloads a file with the extension *.usr containing all user data.

You only need this file if WINPACCS Accounting or WINPACCS Cashbook are not connected to WINPACCS Cloud (e.g. because you have a weak Internet connection) and you plan to update changed user roles and assignments of a user in the applications. The file is valid for a fortnight.

Import this file into the applications under My account > Update user data.

Use this function to start the activation process to give the user access to WINPACCS.

This function deactivates user access.

Archive

The function archives the user. The user access is also deactivated if it is an active user.

ActivationEMail

Send activation mail

When you activate a user account, the user receives an activation e-mail to the e-mail address provided. If this e-mail does not arrive (e.g. because the e-mail address was entered incorrectly during registration), you can correct the address and resend the activation e-mail.

Reactivate

Reactivates a previously archived user.

NOTE: The user receives the user status 1 employee without a user account. To give the employee access to WINPACCS, the function Activate user account must be carried out.

Resetting the second factor

When you reset the second factor of the multi-factor authentication, you can choose one of your organisation's procedures or choose to completely switch off the second factor for user access. If you select a method, the user must set up the second factor again the next time they log in.

New

Request module registration

Enables the registration of an installation of WINPACCS Accounting or WINPACCS Cashbook on a device without an internet connection.

NOTE: The function is only available for the own user.

Request verification code

Enables the request of a verification code for a critical journal restore in WINPACCS Accounting.
