If you select several posting positions and click on Edit a window opens in which you can set certain fields of these posting positions to the same value.
This function is useful, for example:
▪to mark a larger number of posting positions as billed after reporting to a donor,
▪to assign posting positions to another budget line if the budget on the original budget line is used up,
▪to allocate any costs not covered by a donor to another funding,
▪to move costs to another reporting period,
▪to describe similar posting positions with identical posting texts.
First use the Table settings (filters, quick filters, groupings, search) to limit the display to relevant posting positions. To then select multiple postings, use the ticks in the first column:
To select several related posting positions, proceed as follows:
1.Select the first posting position by entering it in the second column.
2.Hold down the Shift key and select the last posting position by clicking on the second column.
Use the Edit function to set certain fields of the selected posting positions to the same value. You can only change postings of the same journal. These postings may not yet be billed.
NOTE: Make sure that you have selected the correct posting positions. Changes that affect several posting positions cannot be undone in one step. To undo all the changes to an individual posting position, open it and use the Reset posting position function. To undo only some of the changes made to a single posting position, edit the relevant fields of the posting position. The History in the configuration area logs all the changes. |
All the entries in the following fields are optional. They apply to all the selected posting positions. To undo individual entries before saving, select <no selection>. To transfer the entries to all the selected posting positions, click on Change.
Posting text |
Enter a posting text that applies to all the posting positions. The field is only available if changes to this field are allowed in the Organisational settings for Project controlling. |
Funding |
Select the funding to which you want to assign the posting positions. The field is only available if changes to this field are allowed in the Organisational settings for Project controlling. |
Sub-account |
Select a sub-account to which you want to assign the posting positions. The field is only available if all the selected posting positions are assigned to the same main account. In addition, changes to this field must be allowed in the Organisational settings for Project controlling. |
Reporting period |
Choose Enter reporting period to change the reporting period for all the posting positions. When you select Enter reporting period and do not enter anything, the reporting period is also deleted in posting positions that were previously assigned to a reporting period. |
Billed |
Select Yes to define the posting positions as billed. For example, you can use filters to exclude them in posting views and analyses. To process billed posting positions after you have saved them, you first have to unlock them. |
Budget structure(s) |
Select a budget line which you want to assign all the posting positions to. All the budget structures of the project that meet the following conditions are available: ▪The settings in Project controlling allow the master data of the budget structure to be changed. ▪The budget structure is either: ▪not assigned to any funding, or ▪assigned to a funding to which all the selected posting positions are assigned. |
