This overview shows all the uploaded month-end closings and day-end closings from journals from WINPACCS Accounting which you are assigned to. Closings from confidential journals are only visible to users who are authorised to view confidential data.

Open a closing to view and check reports and postings. You will find detailed information on this in the How to check month-end closings guide.

Closings overview

The most important columns of the overview are described below. Use the table settings, to show more columns or to change the display by grouping, sorting or filtering columns.

Use the quick filters to filter the table for closings that have been posted to the Company accounting, have been rejected, or are from a specific accounting period.

Closing checked

Open a closing and use the Check (Check) function to mark a closing as checked. Closings must be released so that you can check them.

This column is only displayed if your organisation has specified that closings must be checked (Organisational setting).

Closing type

In WINPACCS, a distinction is made between day-end and month-end closings. The postings from WINPACCS Accounting can be viewed promptly in Controlling using day-end closings.

Month-end closings also close the current accounting period and open the next one. Preliminary month-end closings are a speciality. These are used to block the entry of new vouchers in Accounting until you approve or reject the closing.

Attachment to a closing

Attachments to closings contain digital vouchers. When you open the closing and view the individual postings, the digital vouchers are displayed next to the respective postings.

Automatic release

Closings can be released automatically (Organisational setting). If a closing has been automatically released, this field indicates Yes.

If closings are not automatically released, you must release them manually. If you want to see which user has manually released the closing, open the data packet.

Only posting positions from released closings are available in Project controlling and are transmitted (via an optional interface) to the Company accounting.

Automatic data exchange

If WINPACCS Accounting has a connection to WINPACCS Cloud, closings are uploaded automatically. If a closing was uploaded automatically, the field indicates Yes.

If the Internet connection is poor, or you do not have one, use the Upload closing (UploadDigitalVouchers) function to upload closings manually.

Voucher type

Postings in closings from WINPACCS Accounting always have the balance sheet effective voucher type.

Only postings from journals of the Partner accounting journal class that are posted in WINPACCS Accounting in these special journals have the for information purposes voucher type.

First voucher number in accounting period

You can see from the first voucher number of an accounting period whether a month-end closing contains all the postings of the period, or whether postings in day-end closings have also been uploaded.

To do this, compare this number with the first voucher number of the data packet.

You can see from the first voucher number of a closing whether other closings from the same accounting period were uploaded before it.

To do this, compare this number with the first voucher number of the accounting period.

Average rate beginning

Use the columns to track the average rate development.

The average rate of the first voucher position of a data packet is equal to the average rate of the last voucher position of the previous data packet.

If an Average rate development report is uploaded with a closing, you will find it when you open the closing in the Closing reports section. Please also note the Checking reports quick start guide.

Closing status

Uploaded on

The closing was uploaded from WINPACCS Accounting. It has not yet been released and has not been passed on to Company accounting or Project controlling.

This status is only assigned if your organisation does not automatically release closings (organisational setting).

Released

The closing was released automatically or manually.

Posted Company accounting

The postings of the closing were passed on to the Company accounting via an interface. The external system has reported back to WINPACCS Cloud that the vouchers were successfully posted there.

Rejected Company accounting

The postings of the closing were passed on to the Company accounting via an interface. In the external system, the postings were rejected. The postings can be corrected in WINPACCS Accounting and the closing can be performed again and uploaded.

Rejected in WINPACCS Cloud

The closing was manually rejected in WINPACCS Cloud. The postings can be corrected in WINPACCS Accounting and the closing can be performed again and uploaded.

Open the Properties of the selected closing, e.g. to check it, display its postings or upload additional vouchers.

If WINPACCS Accounting is connected via the Internet to WINPACCS Cloud, closings are automatically uploaded and displayed here.

If the upload fails due to a poor Internet connection in the project country, you can upload the following files manually here:

attachments to closings

WINPACCS Accounting saves all closings and their attachments in a file on the computer where the application is installed. You can find and change the path in WINPACCS Accounting at Extras > Settings > File storage locations.

Closings

If you want to upload the most recently created closing manually, simply use the file creation date to guide you.

MonthEndClosingFileIdentify

To enable you to clearly identify older closings, the files are named according to the following pattern:

Example: MC_65469_002TZS_202006_000025_000485_20221024_174304. AC4

MC = Month-end closing (month-end closing), DC = day-end closing (day-end closing)

65460 = project number 65.469

002TZS = journal number 002 and currency TZS

202006 = accounting period 2020/ 06

000025 = first contained voucher number 25

000485 = last contained voucher number 485

20221024 = Creation date 2022-10-24

174304 = time 17:43:04 (system time of the user)

Attachments to closings (digital vouchers)

The naming follows the same pattern. The files begin with DVC_ (for digital vouchers of a closing).
