When you open a closing, the properties of the closing from the Overview are displayed. To enter an additional comment on the closing, click at the bottom of the page on Edit.

Functions

Use these functions to change the status of the closing or to check it.

Release

Release

Releases the data packet so that the posting positions are available in Project controlling and can be passed on (via an optional interface) to the Company accounting.

The function is only available in the following cases:

Closings are not automatically released

these are preliminary month-end closings

Cancel

Reject

You should check all the closings as soon as they are uploaded. If you notice mistakes before you release the closing, you can correct them more easily.

In particular, if you find implausible average rate developments, you should reject the closing. Rejected closings can be corrected in WINPACCS Accounting without having to re-post all the vouchers included in them.

When rejecting, you can enter a reason for the Project accounting and attach a document for explanation purposes.

Show postings of the closing

The Postings (WINPACCS Accounting 4) functional group opens and displays all the postings included in the closing.

NOTE: If your organisation also uses day-end closings, check all the day-end closings of the accounting period, in addition to the month-end closing. In this case, the month-end closing does not contain all the postings. To see all the postings of an accounting period in an overview, switch manually to the Postings (WINPACCS Accounting 4) functional group and filter there by (project), journal and accounting period.

Check

Check

Use this function to mark a month-end closing as checked.

History

All actions about closings (change of status) and additional documents (uploading, deleting) are logged.

Verification code

The verification code is needed in rare cases when an installation of WINPACCS Accounting does not have an Internet connection locally.

It is used to transmit the status of the closing to WINPACCS Accounting. Accountants can, for example, only close the next accounting period if there is confirmation from WINPACCS Cloud that the last month-end closing has been released.

You can give the verification code to the local staff by telephone. Accountants must enter the verification code in WINPACCS Accounting at Postings > Month-end closing or Postings > Day-end closing.

Closing reports

These reports are generated in WINPACCS Accounting and uploaded together with the postings. The reports that are available are determined in the Organisational settings.

Additional vouchers

You can upload important additional vouchers for a closing, such as the account statements of a bank account or the cashbox log of a cashbox. If you have marked a closing as Checked you can no longer delete all the previously uploaded additional vouchers. However, you can upload additional vouchers at any time. In order to protect them against deletion, you have to mark the closing as Checked again.

Use the function for documents relating to the accounting period in general or for additional information about the closing itself. The file size is limited to 2 MB. For documents relating to individual postings digital vouchers are more suitable, as you can display them next to the respective posting data.
